The property transfer process allows us to move properties from branch to branch on our internal systems to prevent property stock that where it is necessary to move from branch to branch from showing as a newly added listing. 


Why we do a property transfer?


There are 3 main reasons we will complete a property transfer of stock from one branch to another on a customers behalf.

  1. A customer has in error added a property onto Rightmove onto the wrong branch and needs it transferring. 
  2. A customer has a dual account with us currently and is splitting that account due to either having different branding from the sales to the lettings side of the business or using a different datafeeds for sales to lettings.
  3. A multi branch company is closing one of their branches with Rightmove and the current stock needs to be moved to an existing branch that will be staying active on Rightmove. 


Before the Process

  1. Receive request from the agent that they wish to do a property transfer 
  2. Send the canned response which confirms the branches they wish to move the properties from and to; gets the agent to send us a list of properties via Rightmove Plus (This email clearly shows the property ID, property address and which properties have a PL); let’s the agent know that the feed will be temporarily switched off and that this will cause error messages and won’t be able to receive property updates; a property transfer guide will be attached and will schedule in a suitable date/time.


During the Process

  1. Add Rightmove Plus report to FD ticket as a note on the transfer ticket for audit purposes and if the PT is to happen on a future date and this is to be picked up by someone else. 
  2. If agent is using a feed, make sure both branches’ upload method is set to RM+ whilst the transfer is taking place stops further updates being sent through
  3. Open the Rightmove Plus report the agent has sent to us. Highlight the properties that need transferring. Insert a column next to Rightmove ID column and insert a comma into the first cell, drag down to there is a comma next to every property ID. Insert another column next to this and insert the following formula =G2&H2 and press enter. This will combine the property ID and the comma which you will need for the Atlas tool. Drag formula down so the rest of the cells populate.
  4. Open Property Transfer Tool:

  5. Enter the branch ID the properties are going from and then branch ID the properties are going to.
     Then click ‘provide a list of property ID’s’.
  6. Go back to the Rightmove Plus report and copy all the property ID’s, then paste them into the box.
     Make sure you remove the last comma otherwise the tool will not work.
  7. Check all properties have moved to correct branch.
  8. If agent is using a feed*, Raise a ticket with ADF and ask them to request data from the software provider of the branch you have moved the properties to. Include:
    - Branch ID
    - Software provider,
    - Service type (sales or lettings)
  9. Call/email the agent to let them know that the properties have been moved over and get them to confirm once they have been moved over on the feed.
  10. Go into Rightmove Plus delete properties – if agent is using a feed (need to get consensus from the team if this is something everyone does) 
  11. Go into Novus and add the number of PL’s of Available properties of PL’s lost as free one-off credits and set live. Apply to original properties, sticker text can also be found on the Rightmove Plus report so this can be updated as well.

 

After the transfer

  1. Once the transfer has been complete call the agent to let them know the properties have been moved. 
  2. Send canned response confirmation email to the agent. This lets them know the transfer is complete; Premium Listings have been reapplied; The market share reports will update in 24 hours and asked them to make sure the properties appear as expected.
