How to prepare for a merge
- Call the agent to let them know we will be merging the branches.
- Make a note of the lettings email lead & telephone lead (Check call recording & GEO number as these will need to be re-applied).
- Make a note of all users assigned to branch and their permissions.
- Make a note of the upload method for the branch that will become dual.
- Check the property list for the service you will be moving make a note of any Premium listing credits applied to the current live properties.
- Make a note of any products you are moving over (FA’s, LHP’s, PAS & RAM) Copy the artwork and make sure you have noted the search term, booking reference and price of the product as this needed when you raise a ticket to accounts to let them know the merge has been completed.
How to process a merge
- Go to Siteadmin and open the brand view so you can see the list of branches.
- Copy the branch Id for the service you will be moving (LETTINGS ONLY).
- Then enter the Novus of the branch this service will be moving to, click ‘actions’ on the core line and then select ‘merge.’
- The system will then ask you to confirm the service you are moving over and enter the current branch ID for this service (the one you have just copied) and click ‘confirm.’
- Change both branches upload method to Rightmove plus (this is to prevent updates happening and properties whilst we are moving them).
- Open the property transfer report on atlas; enter the branch ID for the branch the service is moving to, and then the branch ID for where the properties are currently sitting.
- This will send an excel report of all the properties to be moved to your outlook account.
- Open the excel spreadsheet for reference, then go to atlas and open the Branch transfer tool.
- Enter the branch ID for the where the properties are currently sitting, and then the branch ID for where they need to be moved too.
- Click the option to provide the list of property ID’s.
- Make sure the remove ONLY THE LAST COMMA otherwise the tool will not work.
- Once all properties are transferred raised a ticket to ADF to request Data, make sure to include the branch ID that the service has been moved too and the software provider
- Now transfer over any products they had, uploaded artwork and set live and free from today, chargeable for the 1st of the next month billing runs. – This will be majority of the time FA and LAM.
- Once data has been received ADF will assign the ticket back to you and ask you to complete the merge.
- Re-enter the branch that has become dual, go to Novus, click actions on the core line ‘complete merge’.
- Once the page has stopped re-loading the merge has completed, please allocate any premium listing credit’s that may have been lost back to the agent as free one-off’s.
- Re-add all users from the original branch with correct permissions.
- Raise a ticket to accounts to let them know a merge has been complete so they can make sure billing is correct going forwards, make sure to include company name, branch Id’s, payer ref, and the details of any atlas product you have had to move including search term, booking reference and price.
