Why we need to carry out this task


We may sometimes sign-up new private sellers who's card expires either the month we are in or the month after (before the first monthly payment is due).  


We send an email to these private sellers prior about the card expiring asking them to contact us to renew their payment information.  


Steps to follow when a card does expire:


1.Take the first payment as normal.

2.When creating the sale in Bonita, give yourself a reminder in the "Notes" section stating the card expires before the first monthly payment.

3.When adding the package in Novus after inputting the "Chargeable Date" you will then need to process them as a leaver for the date the monthly PB is due to start. Leaving reason should be:  'Non-payment'

At the beginning of each month, around the 4th, when this task reminder comes up, please refer to the below steps to complete this monthly task: 


1. The list of cards that expire before the 1st monthly payment is in the shared drive: Q:\NHs & Breadth Contracts\Overseas

2. We then enable editing, apply a filter, and select the month you are about to go into. For example, if we’re in May, we need to select June

3. Before sending the below email you will need to amend the dates accordingly - giving them around 2 weeks deadline

If I do not receive a reply by XXXX, then your account will automatically be switched off from 1st XXXX.
