Our Internal Process for PL Expiry

  • Before creating a PL expiry swap form sales go to Rev Ops to discuss the number of credits and gain approval for what products these can be swapped to and for how long the free period will be. 
  • The contract is then created by Sales with a note reading “Following approval from Revenue Operations please remove …. number of PL credits in exchange for the below free products and period thank you.”
  • EA Contracts Processing then pick this up, if for any reason a PL expiry swap is mentioned with no approval notes on a contract please contact the AM, create a ticket with form details and scenario this to Rev Ops and wait to hear once approval is granted from Rev Ops in writing on FD ticket.
  • When approval is established, Contracts process the new product, remove the number of PL credits requested from the branch, they have been asked to too the test branch created ID - 246308
  • The Contracts processor will then add to the spreadsheet created saved under this link in Contracts folder Q:\Contracts Team\PL Expiry
  • Please see example of details needed below

  • On the last working day of the month, every month a TL of EA Processing will then send this information in an email to Rev Ops and Accounts, so they are able to have visibility and make adjustments needed for reporting.
  • Processing TL will also create a ticket for IS to remove the PL credits from the test account, so we are fresh for the start of each month.

I hope you’re well please see below the PL swap process outlined if you have credits expiring on a customer’s account that you wish to exchange. 

 

What is the process? 

When a customer has PL credits due to expire on their account, please contact Revenue Operations and agree an amount of PL credits you would like to be removed in exchange for other products for a set free period.

 

What you need to do?

First you will need to speak to Rev Ops have the conversation; confirm the number of PL credits you would like to remove.

Then confirm what products these are being exchanged for and what free period, have this approved and create the contract accordingly.

 

Then how is this processed?

You will need to create a form explaining in the notes on the contract for the processing team using the below structure.

If it does not mention approval, it will not be processed, so please ensure this happens.

The Note on contract should be as below,

“Following approval from Revenue Operations please remove …. Number of PL credits in exchange for the below free products and period thank you.”
